How Interpreters Help Create a More Inclusive Event Experience

How Interpreters Help Create a More Inclusive Event Experience

When planning an event, there’s a lot to juggle including venue logistics, catering, speakers, and marketing. But one factor that’s often overlooked can have a huge impact on attendee satisfaction and brand reputation: language accessibility.

In today’s global business environment, it’s more common than ever for conferences, trade shows, and corporate events to host attendees from diverse language backgrounds. If these guests can’t fully understand and engage with the program, their experience, and the event’s overall success, will be diminished. This is where professional interpreters come in.

Why Inclusion Matters for Events

An inclusive event isn’t just about meeting accessibility requirements, but creating an environment where every attendee feels valued and connected. Language is one of the most powerful ways to make that happen. By providing professional interpreting services, you send a clear message: “Your presence and participation matter.”

Inclusive events lead to:

  • Higher engagement: Participants are more likely to network, ask questions, and take part in discussions.
  • Better knowledge retention: When people hear information in their native language, they understand it more clearly and remember it longer.
  • Stronger relationships: Attendees leave with a positive impression of the event, making them more likely to return or recommend it to others.

The Role of Interpreters in Creating Inclusion

Professional interpreters do more than translate words. They convey tone, intent, and cultural nuance. This ensures that every attendee experiences the same quality of communication as those who speak the primary event language.

Interpreters can support inclusion by:

  1. Facilitating Keynote Sessions & Panels: Ensuring attendees can follow along with presentations in real time.
  2. Supporting Breakout Discussions: Helping smaller groups collaborate effectively.
  3. Enabling Networking Opportunities: Bridging language gaps during informal conversations.
  4. Assisting with Q&A Sessions: Making sure questions and answers are accurately understood by all.

Types of Interpreting for Events

Event planners can choose from different interpreting modes depending on the size, scope, and structure of their event:

  • Simultaneous Interpreting, Best for large conferences; interpreters translate in real-time via headsets.
  • Consecutive Interpreting: Ideal for smaller meetings or breakout sessions where the speaker pauses to allow interpretation.
  • Whisper Interpreting: A great option for one-on-one or small group discussions without interrupting the flow of the event.

Planning for Language Access

If you’re planning an event with multilingual attendees, here are a few actionable steps:

  • Identify Language Needs Early: Determine the languages your audience will require by asking during registration.
  • Choose Experienced Interpreters: Select professionals familiar with your industry’s terminology.
  • Plan for Equipment: Arrange headsets, microphones, and soundproof booths if needed for simultaneous interpretation.
  • Brief the Interpreters: Share event agendas, speaker bios, and presentation slides in advance so they can prepare.

The Payoff: A Stronger, More Inclusive Event Brand

When attendees can engage fully, your event stands out not only for its content and production value but for the way it values and includes every guest. The investment in professional interpreting services often results in higher satisfaction ratings, broader reach, and stronger long-term relationships.

Alexandra Kaplan

CEO & Founder

Born in Dallas, Texas, Alexandra grew up surrounded by Spanish, English, Arabic, and Italian. After moving to Venezuela, Spanish became her primary language. She holds a Master's in Healthcare Administration from Washington University in St. Louis and is a California court certified and medical interpreter.

She founded Kaplan Interpreting Services after seeing an industry that treated interpreters as interchangeable and clients as ticket numbers. She built a protocol-driven operation where every interpreter is hand-selected and credentialed for the specific setting, every client has a dedicated point of contact, and risk management is built into every assignment.

Her career reached a historic milestone when she interpreted the conversation between President-elect Biden and Pope Francis. That assignment, along with engagements for Nike and the Summit of the Americas, set the standard for every client engagement that followed.

"The same protocols that protected that historic conversation now protect every assignment we handle."
